Bookings and time slots
A Booking field lets people choose a day, then a time, right on your form. A time disappears once it's full, so you never get double bookings.
Steps
- Open the form in the Form builder.
- Drag the Booking field from Form fields onto your form. It is called "Choose a time" to start with.
- Under When people can book, set:
- Days: tick the days you take bookings.
- From and Until: your hours. The finish time must be after the start time.
- Each booking lasts: from 15 minutes to 4 hours.
- People in each time: how many people can book the same time (1 to 500).
- Open for the next: how far ahead people can book, from 1 week to 6 months.
- Book at least: how much notice you need, from No notice needed to 1 week.
- Closed on (holidays, days off): pick a date and click Add.
- Click Save in the settings window, then Save at the top of the builder.
What the applicant sees
They choose a day, then tap a time. When more than one person fits in a time, each time shows how many places are left. Full times show Full. After sending, the thank-you message includes their booking.
If the form has an Email question, the applicant also gets an email with their day and time. To change or cancel, they reply to that email, which goes to your receiving address.
See your bookings
Once a form has a Booking field, it gets a Bookings tab. It lists bookings day by day, with each person's name and a link to their response. Click Show past bookings to look back.
Good to know
- Times run back to back from your start time. The last time must finish by your Until time.
- Deleting a response frees its place.
- With a card payment on the form, the time is held for about an hour while the person pays. Unpaid bookings show Not paid yet. See Take card payments in a form.
- A new Booking field is mandatory. You can change this in its settings.
