About Formhub
What is Formhub?
Formhub is an Australian online form builder for businesses. You Create a Form in minutes, share it by link or on your website, and every response arrives by email and on your dashboard, ready as a PDF. It also does things most online form tools don't: a live work rights check with the Department of Home Affairs inside your job application, card payments inside any form, and staff folders that keep each person's paperwork together. See What is Formhub?.
Who is Formhub for?
Any Australian business that collects information with forms: job applications, inductions, timesheets, incident reports, bookings, registrations, event tickets and more. It was built for busy office staff, so there is nothing technical to learn.
Do I need any technical skills?
No. You drag questions onto your form, type the question, and press Save. Choices are typed one per line, and conditions are picked from lists in plain words. If you get stuck, Yasmene, the helper inside Formhub, can show you where to click or build part of the form for you.
Is Formhub Australian?
Yes. Formhub is made in Australia, prices are in Australian dollars, and your data is kept in Sydney.
Can I see Formhub before I buy?
Watch the 2-minute tour on the home page, browse the Help centre, or ask us a question.
Prices and packages
How much does Formhub cost?
Formhub has monthly packages that differ in how many companies, forms, responses and logins you get, and in features such as card payments and work rights checks. See the current prices on the home page. Prices include GST.
Is there a free trial?
There's no free trial. Instead, every package has a 14-day money-back guarantee: if Formhub isn't right for you, ask within 14 days and we refund you.
Can I change packages later?
Yes. You can move to a bigger or smaller package as your business changes. See Packages and billing.
Does Formhub take a cut of payments made in my forms?
No. Card payments in your forms go straight to your own Stripe account. Formhub adds no fee of its own; you pay only Stripe's normal card fees. See Take card payments in a form.
Your data and security
Where is my data kept?
In Sydney, Australia. Formhub's server, the database, uploaded files and the nightly backups are all in Sydney. Files and backups are kept with Amazon Web Services in its Sydney region, and are encrypted.
How long are responses kept?
Until you delete them. Formhub doesn't delete your responses on a timer.
Do you sell data or use it to train AI?
No. We never sell information, and the answers people give in forms are never used for advertising or to train AI. See the Privacy Policy.
Is two-factor login available?
Yes, for every login. A business can also ask for it to be required for all its logins. See Password and two-factor login.
How do you stop spam and fake forms?
Every form has a robot check before it's sent, so spam bots can't flood you. Form links don't contain your business name, which makes copycat forms harder, and every form has a Report this form link so scams can be taken down quickly.
Forms and responses
Can I bring the forms I already use?
Yes. Upload a PDF, a Word file or a photo of your form and Formhub builds an online copy for you to check. You can also start from the ready-made form library. See Bring your existing forms.
Do forms work on phones?
Yes. Every form works on phones, tablets and computers, signatures included. You can see how it looks with Phone view in the form builder.
How do I get the responses?
Each response is emailed to the people you choose, with the uploaded files, and is saved on your dashboard. You can download any response as a PDF, or all of them as a CSV file for Excel. See Where responses go.
Can I put a form on my own website?
Yes. Copy the embed code from Publishing details and paste it into your website. See Put a form on your website.
Can I run forms for more than one business?
Yes. Add each business as a company, with its own logo, colours and forms. How many companies you can add depends on your package. See Add a company.
What are staff folders?
Formhub groups responses from different forms into one folder per person, matched by their name and date of birth. A new worker's application, bank details and timesheets end up together. See Staff folders.
Work rights checks
Can Formhub check a worker's right to work in Australia?
Yes. Add a work rights check to your job application. The applicant presses a button and Formhub checks their visa with the Department of Home Affairs before they send the form. The check uses a digital key your business sets up once with Home Affairs. See Set up work rights checks.
Do I have to give Formhub my Home Affairs login or password?
No. Your business sets up its own digital key with Home Affairs, once (Home Affairs calls it a machine credential). It's made just for visa checks, so nobody needs your Home Affairs password or personal login. Formhub keeps the key encrypted, uses it only for your own checks and never shares it with anyone else. You can remove it from Formhub, or cancel it with Home Affairs, at any time. See Set up work rights checks.
What does the applicant see?
Only whether their details matched. They don't see your Home Affairs key or the visa details. See Work rights results.
What details are sent to Home Affairs?
The person's name, date of birth, passport number and passport country, using your business's own Home Affairs key. The answer is kept with the response.
Help and support
Where can I get help?
Inside Formhub, press Ask Yasmene at the bottom right: she answers questions and can show you where to click. You can also search the Help centre or send us a message.
Who is Yasmene?
Yasmene is the helper built into Formhub. Ask her how to do something and she explains it or points to the right button. In the form builder she can add a section from one sentence, or check your form and suggest fixes. See Ask Yasmene.
